Invoicing
|
|
|
|
After you have sold an item or items on free2auction you may create
and send invoices to buyers requesting payment.
Invoicing a single user
From your selling tables you may
select the invoice link next to a successfully sold auction or
store purchase to create an invoice for a single win. If the
member has won multiple listings you may select each item in the
action column, and then select the invoice bulk action, free2auction
will detect that the selected wins are for a single user and generate an invoice
that totals all the wins together, you may then apply a shipping discount if you
wish.
If one member has made a mixture of auction and store item purchases you may use
the below manual invoice selection form to join them all together in one invoice.

Bulk invoicing multiple members
If you handle many sales you may send
invoices to your winners in bulk. To do this select multiple auction wins or store
purchases in your selling tables and choose invoice as your bulk action. free2auction
will detect the invoices are for multiple winners and take you to the bulk invoice form.
When entering bulk invoices you may choose to have each invoice use the payment details for the listing as an invoice note, or enter one generic invoice note for all invoices.
You may select whether to include a payment address with your invoice, use each listings optional
payment address, or send every invoice with your current registered free2auction account
address details. You are not able to specify shipping or insurance values when bulk invoicing,
these details are taken directly from each individual listings data. If you have selected
to bulk invoice a multiple quantity auction that has more than one winner, all the winners will
receive an invoice for the quantity that they won.
The Multiple invoice selection from below can be used to enter bulk auction and store item wins to be bulk invoiced.

Sales tax
You have the option of adding sales tax to the values on your invoice. If this is required
enter the percent amount, by default sales tax is added to the price of the items won, not to the
shipping or insurance charges, if you wish to have the sales tax apply to the combined total of
item and shipping charges select the combined box. Note that if you did not specify in your items
description that sales tax would apply and you ask for it in an invoice, the buyer may have
grounds to not follow through with the purchase.
Multiple wins listed in different currencies
A special situation arises when you create a single invoice for multiple wins
that were listed in different currencies. Although this is very rare, if the situation arises you must specify the combined subtotal for all purchases excluding shipping,
and which currency the invoice is in. If the subtotal you specify does not accurately
reflect current currency exchange rates the buyer may have grounds to not complete the
purchase.
Additional notes
After you have completed an invoice for a sale, the invoice link on your selling
tables changes from a light blue to a dark blue. If the listing is a multiple quantity
auction with multiple winners, the link will change to dark blue only after all
winners have been invoiced, on the winning bidders details page there is an
individual invoice link for each winner which turns dark blue as you complete
each invoice. In a store items buyers details page each purchase has an invoice link
which turns dark blue when an invoice has been sent to the buyer.
The details of your invoices are not stored at free2auction
and free2auction does not consider an invoice as a binding agreement,
if you negotiate different terms with a buyer you may remake and resend an invoice.
Manual invoice selection
The below forms allow you to have greater control
over the wins you wish to invoice. Multiple auction ids and store purchase ids may be
entered, each separated by a comma (,).
1. If you wish to process bulk invoices for multiple
winners enter the auction ids and purchase ids and select bulk invoice.
2. If you wish to create one invoice for a single member enter the members id, along with
the auction and purchase ids and select single invoice.
3. If you would like free2auction to create a single invoice with all the recent
wins for a single member, enter only the members id, how many days old you would like to search, and select
single invoice
